2.2 Sensitive information. To keep you safe and cater to your stay, we may ask for dietary requirements, allergies, medical conditions or mobility needs. We only collect this with your consent and use it solely for that purpose.

2.3 Information from third parties. If you book through a travel agent, wholesaler, tour operator or online booking platform, they may pass your booking and contact details to us.

2.4 Photographs. Guests may appear in photographs or video taken during tours and stays. We will ask for your consent before using identifiable images in our marketing.

2.5 Usage information. When you visit our websites, we may automatically collect your browser and device type, IP address, pages visited, and referring and exit pages.

2.6 Cookies and tracking. We use cookies and similar technologies to improve website performance and your experience. You can manage cookies through your browser settings, though some features may not work if cookies are disabled.

3. How we use your information

3.1 Bookings and purchases. To confirm and manage bookings, arrange barge crossings and transfers, process payments, verify age for alcohol sales, fulfil product orders, and respond to enquiries.

3.2 Your safety and stay. To prepare for your arrival, meet dietary and accessibility needs, and contact you or your emergency contact if needed. Shark Bay is remote, and this information helps us look after you.

3.3 Improving what we offer. To understand guest feedback and website use, so we can improve our experiences, products and services.

3.4 Marketing. With your consent, we may send you news, offers and updates from any of our brands. You can opt out at any time using the unsubscribe link in each email or by contacting us.

3.5 Legal obligations. To comply with the law, enforce our terms and conditions, and protect the rights, property or safety of our guests, staff or the public.

4. Sharing your information

4.1 Within our businesses. Information may be shared between our brands where needed to deliver your booking. For example, an Eco Lodge stay that includes a barge crossing or Island Life Adventures tour.

4.2 Service providers. We use trusted third parties for bookings and reservations (FareHarbor, Bookinglayer, Checkfront and FerryHawk), customer management and guest feedback (monday.com), email marketing (Mailchimp), payment processing, website hosting and analytics, and product delivery. They only access the information needed to perform their role and must keep it secure and confidential.

4.3 Travel partners. If you book through a travel agent, wholesaler or tour operator, we may share booking details with them to manage your reservation.

4.4 Legal requirements. We may disclose information where required by law, or to emergency services where needed to protect someone’s health or safety.

4.5 Overseas transfers. Some of our service providers store data outside Australia, including in the United States, Canada and the European Union. Where this happens, we take reasonable steps to ensure your information is handled consistently with the APPs.

We do not sell your personal information.

5. Security

We use industry-standard measures to protect your information from unauthorised access, disclosure or loss, including secure servers, encryption and access controls. All card payments are processed by PCI-DSS compliant providers. We do not store full card details on our systems.

6. How long we keep your information

We keep personal information only as long as needed for the purposes in this policy, or as required by law (for example, tax and financial records). When it is no longer needed, we securely delete or de-identify it.

7. Access, correction and your choices

7.1 Access and correction. You can ask to see the personal information we hold about you, or ask us to correct it. We will respond within a reasonable time, usually 30 days.

7.2 Marketing opt-out. You can unsubscribe from marketing at any time via the link in our emails or by contacting us.

7.3 Complaints. If you believe we have breached the APPs, please contact us first and we will respond promptly. If you are not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

8. Guests from the UK and European Union

If you are in the UK or EU, you may have additional rights under the GDPR, including the right to request deletion of your data, restrict or object to its processing, and receive a copy in a portable format. Contact us to exercise these rights.

9. Changes to this policy

We may update this policy from time to time. The latest version will always be on our website, with the date it was last updated. We will notify registered customers of significant changes.
